Create & share demos
Before you start
Before you click Create & Share demo, it’s worth asking yourself a few questions:
-
- Do you want to customize the demo so that customer or organization names show in the demo?
- What about a specific welcome message?
- Who do you want to share the demo with: everyone in your organization, some or selected customers and/or prospects?
- Do you want to connect the demo to a specific CRM channel?
- Do you want to receive comments and be able to reply to comments?
- Who can make changes?
- For guided demos, which elements do you want to highlight or show?
When you know how you want to share, then you’re ready to click Create & Share demo.
Here's the workflow.
To create & share a demo:
- Navigate to the template and in the header, click Create & Share demo.
- A new pane opens and from here, you’ll tell Walnut the answers to the questions you just asked yourself. There are four tabs: Share, Opportunities, Access control, View settings.
The Share tab
Here's the workflow.
To use the Share tab:
- Demo name: prefilled or change it.
- Select the goal from the dropdown. If the one you want isn’t there, enter it on the Opportunities tab.
- Don’t click Save & Copy demo link until you’ve completed the other tabs.
The Opportunities tab
Here's the workflow.
To use the Opportunities tab:
- Select an opportunity from the drop or enter a new one. This will connect the demo to your CRM.
- Don’t click Save & Copy demo link until you’ve completed the other tabs.
The Access control tab
Here's the workflow:.
To use the Access control tab:
- Use the screen tooltips to help you set the options.
- Collect viewers email: Do you want to allow non-work domains e.g. Gmail?
- By default, every demo has Collect viewers email enabled. This means that viewers have to leave their email address to add comments. When enabled, you can brand the demo screen an avatar, color palette, and a welcome message. NOTE: If you don’t need people to enter an email to view, set the toggle to OFF.
- Show avatar: Taken from your template or company settings.
- Select colors: Branded or non branded.
- Welcome message: Enter your text.
- Who can access the demo? Anyone with this link, specific viewers, no access.
-
Edit permissions: A new pane opens.
- Allow or block specific users. You can allow or block emails or domains. Enter details and click Block. The details appear in the Block List. Then click Save Changes. If a person is blocked and they try to use the link, they will see a message “This demo is no longer available.”
- Back on the Access Control pane, set an expiry date and/or set a demo access code. If you set a demo access code, then viewers can’t view without using the code.
- Don’t click Save & Copy demo link until you’ve completed the View Settings tab.
The View settings tab
For guided demos only.
You can activate some of all of these settings. For those you don't think you need, set the toggle to OFF.
Get ready to publish & share
Now you’ve entered your settings in all four tabs, go ahead and click Save & Copy demo link. The link will be pasted to your clipboard. Great, you're demo's ready.
TIP: Before you share, open the demo up and check if there are any tweaks you want to make. There are also some demo preferences that you might want to add before you share. So, read the next section. in this article
Set demo preferences

- To reply, click the Reply button in the notification email you receive.
Update a demo
Updating and optimizing demos are essential steps in the iterative process of creating effective demonstrations. However, updating a demo means that it's not possible to compare with previous versions because all data is stored under the same demo. This can complicate the analysis of versions. However, if that’s not an issue, you can update a demo without changing the URL or embed codes.
Click here to see it in action.
Here are the workflows.
To update a demo from the template:
- Navigate to a demo template.
- Click Create & Share demos.
- Click the 3 dots next to the version you want to update.
- Click Update demo. The URL remains the same.
To update the demo without opening the template:
- Make sure that the changes are saved in the template.
- From the relevant library, click the row of the demo or hover over it.
- Click the 3 dots and select Update demo.
Create multiple demos from one template
Say you’ve changed variables like an avatar or company name. You want to keep the current demo and create a new one with the changes you’ve just made. Can you do it? Yes you can! In fact, it’s both a great time saver and an effective workflow.
Here's the workflow.
To create multiple demos from one template:
- Open the template in Edit mode and make the changes you want.
- Preview the changes.
- When you’re ready, click Create & Share demo.
- Change the name of this new version to whatever you want.
- If all the share settings are the same, then you’re done.
- Click Save & Copy demo link.
When you create another demo and get to step 3 above, you’ll see all the previous demos you’ve created using this template.

Specific use cases
Here are some tips for specific use cases.
1. Delete a guide in a template after you publish a demo
Once published, the demo is ‘standalone’, so the demo won’t be affected. But, if you ever run Update demo, then the demo will take the latest content from the template. So in that case, the demo would not contain the guide you deleted.
2. ‘Demo not available’ message
If you see this message, there are few ways to troubleshoot.
- Check Demo Preferences: Verify the demo expiration date to ensure it hasn't elapsed.
- Adjust or Remove Expiry Date: If needed, adjust the expiration date or consider removing it entirely.
