Deal room playbook

Overviewโ€‹

Ready to build powerful deal rooms that drive engagement, accelerate deals, and delight stakeholders? Explore high-impact templates and ideas for go-to-market teams and beyond.

The strongest Deal Rooms aren't just a place to send content: they're where buyer and seller run the deal together. Start with Make the Mutual Action Plan the place buyers work, then pick a template below.

๐Ÿ‘‰ Learn more about Deal Rooms

Make the Mutual Action Plan the Place Buyers Workโ€‹

A Deal Room earns repeat visits when buyers have something to do in it, not just something to read. These building blocks turn a room into a shared workspace. Bake them into your Deal Room templates so every new deal starts with them.

๐Ÿ“‹ A Mutual Action Plan both sides updateโ€‹

A Mutual Action Plan (MAP) is a shared checklist organized into stages (e.g., Discovery, Evaluation, Procurement) with tasks that each carry an owner, a description, links, and a due date.

  • Buyers added to the room can check off their own tasks, edit descriptions, and add links, with no Walnut seat required.
  • Every change shows up in the room's Updates tab, so both sides see progress without chasing it over email.
  • The MAP can be shown as its own page tab, so it sits alongside the rest of the room rather than behind it. See Build a Mutual Action Plan in a Deal Room.

Tip: Pre-build the MAP in your Deal Room template and give tasks relative due dates, counted from the room's publish date or from the linked CRM opportunity's creation date. Every room created from the template then gets a plan with sensible dates and nobody has to re-date it by hand.

๐Ÿšฆ Status columns buyers update in tablesโ€‹

When you're tracking a list of things that each have a state (action owners, deliverables, security questionnaire items, approvals), use a Comparison table with a status column.

  • Every cell in a status column is a dropdown of the room's statuses, colour-coded so progress reads at a glance.
  • In a published room, viewers can set or change the status themselves, right on the page. Status cells are the only part of the table viewers can edit; the rest stays your authored content.

Use the MAP for the deal's step-by-step plan, and a status-column table for side-by-side tracking that sits on a specific page (for example, an approval checklist on the Procurement page).

โœจ Personalized from the moment it's createdโ€‹

Deal Rooms use the same library variables as demos and playlists. When you create a room from a template, the template picker lists the variables that need values (account name, contact, logo) and saves what you fill in with the room. Variables mapped to a CRM field can be pulled from your connected CRM.

You can drop variables into section text, image slots, and MAP task names, and embedded Walnut demos pick up the same values. One template becomes a room that feels built for each account. See Use variables in playlists and deal rooms.

๐Ÿ”’ Pages only the right people seeโ€‹

Some pages belong in the room but not in front of everyone: pricing, security reviews, legal terms. With page gating, you restrict a single page to a list of email addresses. Everyone opens the same Deal Room link, but a gated page is simply absent for anyone whose verified address isn't on its list.

Page gating requires the room to collect viewers' email (Required) with Email Verification on. Being the room's author doesn't exempt you, so test with an address on the list.
