Personalize a playlist or Deal Room for every account in seconds

Build one playlist or Deal Room template with library variables, then personalize it per account with presets, Preflight, CRM values, and relative dates instead of maintaining a copy for every deal.

Personalize a playlist or Deal Room for every account in seconds

Overview

Personalized playlists tend to multiply. One copy for this account, another for that vertical, a third for the renewal, and soon you have fifty near-identical playlists to keep current. When the pricing slide or the product story changes, every copy needs the same edit.

Variables fix the maintenance problem. You build one playlist or Deal Room template with library variables in place of the account name, contact, logo, and dates, and Walnut fills them in for each viewer. This article walks through the situations where that pays off and what a good setup looks like. For the click-by-click steps, see Use variables in playlists and deal rooms.

Snapshot

Build the template once

Start with the playlist you would otherwise copy. Anywhere the content changes per account, swap the hard-coded value for a library variable:

  • Text variables for the account name, the contact's name, or the industry, in section titles, descriptions, and text sections.
  • An image variable for the account's logo, bound to an image element so the picture swaps per viewer.
  • Dynamic Date in text for time-sensitive copy such as "valid until" or "this quarter". It is evaluated every time the playlist is opened, so the copy never goes stale.

In the editor, each variable tag is highlighted and shows its resolved value, so you can see which words will change.

Only library (company-wide) variables work in playlists and Deal Rooms. Variables created inside a single demo's storyline are not available here, so create shared ones in the library first.

Tip: Use the same library variables in the demos you embed. Embedded Walnut demos inherit the resolved values of any library variable they share with the playlist, so the logo and account name you set once carry through every demo in it.

An SE prepping a live call

You have a discovery call in ten minutes and want the playlist and every embedded demo to show the prospect's name and logo before you share your screen.

Turn on Preflight in the playlist's Settings panel, in the Variables section. When you open the playlist, you land on a presenter screen first, out of the buyer's view. From there you can:

  • Pick a Preset to apply a whole set of values in one click.
  • Edit any Shared variable used across the playlist.
  • Override values for an individual embedded demo in its own section.
  • Watch the live preview re-render as you change values, then click Start.

Example: You pick the preset for the prospect's industry, type the account name and contact into the Shared section, check the preview, and click Start. The playlist and its demos open already personalized.

Sometimes you set up the playlist and someone else delivers it: an AE who configured it for an account hands it to the SE running the technical session, or vice versa.

In Preflight, use Copy link instead of Start. The link carries the chosen preset and your edits as URL parameters, so the playlist, and any embedded demos, which read the same parameters, opens with your configuration already applied. Your teammate does not need to rebuild it from scratch.

Values supplied on the link take priority over everything else, so a copied link always reflects what you chose, even if the preset or CRM data says otherwise.

A preset for a recurring segment

If your team keeps personalizing the same playlist the same way for a vertical or segment, stop re-typing it. Save the values as a preset under Company Settings → Global variables → Presets and give it a name that describes the story, such as "Healthcare, mid-market".

Every presenter then picks it from the Preflight picker. Keep the list short and well named so presenters can scan it; when a new segment shows up, duplicate the closest preset and change a few fields. See Demo presets and the Pre-flight presenter screen for managing presets.

An AE sending a follow-up, or a renewal room

Deal Rooms use the same library variables, so the same "one template" approach works there. The difference is when values are supplied: a Deal Room gets its values when you create it from a template. The template picker lists the library variables that need values, and what you fill in is saved with the room. There is no Preflight screen for Deal Rooms; this step replaces it.

If a variable is mapped to a CRM field, Walnut can pull its value from the connected CRM, so the account details come in without typing.

Deal Room templates can also carry a Mutual Action Plan whose dates take care of themselves:

  • Put a variable in a task name, so the plan reads in the buyer's terms.
  • Set a task's due date relative to the room: a number of days, weeks, or months from the room's first publish date or from the linked CRM opportunity's creation date.

Example: A renewal room template has a MAP task named "Usage review" followed by the account name variable, due 14 days after publish. Every room created from it gets a sensible, account-specific plan with no date editing. Until the room is published or linked to an opportunity, relative dates count from today.

Tips for a better result

  • Set good defaults. If nothing else supplies a value, Walnut falls back to the variable's library default. A neutral default ("your team") reads better than an empty placeholder.
  • Know the resolution order. Each variable takes the first non-blank value from: Link → Preset → CRM → Saved → Default. Use it to predict what a viewer will see.
  • Use Preflight for presenters, not buyers. It is the screen you configure from; share a copied link when you want the buyer to land straight in a personalized playlist.

Key takeaways

  • Replace per-account copies with one template and library variables for text, logos, and dates.
  • For playlists, set values in Preflight: pick a preset, edit values, then Start or Copy link.
  • For Deal Rooms, values are set at creation from a template, and can come from your CRM.
  • Dynamic Dates and relative MAP due dates keep time-sensitive content correct without edits.
  • Resolved values flow into every embedded demo.
